It may happen that when you have your tournament there is a weather related issue that will not allow you to have the event. If you would like to change the dates of your event in the system, navigate to the 3-line menu within your tournament and select the "Events" tab:
Select the "Edit List" option to open up every event for date change all at once:
You can now go through each event and change the date. Be sure to use the green "Save" circle that appears to the left of the events after you have made the changes.
If you decide that you are going to cancel your tournament, please follow the next steps:
Once logged into your tournament, select the 3-line menu and go to "Edit Tourney" from the menu:
Scroll down to the tournament name section, and add the word "Cancelled" into the description before the title:
Scroll down the to the registration section and make sure to either turn the toggle for the online registration off, or adjust the date of the registration close to stop player registrations:
You will need to make sure that you contact the players to let them know. You can email all players using the "messages" tab from the 3-line menu:
Finally, you will need to withdraw the players in the tournament and then process their refunds.
You can do this by going to the "Attendees" tab and using the "Withdraw" on each players registration:
Once withdrawn, the player will show as fees "Owe" to them. This is the amount that you should refund to the player.
IMPORTANT: The service fees for this tournament are still due to the software. We recommend that you only refund the amount that is Owed. If you choose to refund the full amount back to the players, you will be responsible to pay the Service Fees once the tournament is locked.
To refund players using Stripe through the software, locate the players registration and use the "Menu" next to their name, and "Payment History" from the dropdown menu:
Once inside the payment history, scroll to your right using the slider bar to locate the yellow "refund" button:
The software will now give you details on the payment and ask you how much to refund the player for. Select the amount you wish to refund the player and then select "Give Refund" to complete the refund.
Once players are all refunded, you are all done with the cancellation of the tournament. If any service fees had not been paid through Stripe, or you refunded those amounts, you will receive an invoice upon the tournament date passing to send us the amount of total service fees. If you had not refunded those service fees using Stripe, you should not owe any service fees as we have already collected those directly from the player.
